The 2025 Internal AR System that Gets You Paid Faster

The 2025 Internal AR System that Gets You Paid Faster

We're huge advocates of building healthy, human relationships with clients. They're our bread and butter after all. But when payments come too early or too late -- which, by the way, 93% of organizations experience – you can only point to their patterns for so long. You have to check your own yard too.

The next time you're caught up on invoices, ask yourself: “is client behavior to blame, or are my systems just struggling to speed up?”

Especially for small businesses, having a good accounts receivable (AR) process means shifting from reactive pursuits to proactive preparation. Remember: you can't control what isn't clear!

Follow Unified Global's helpful hacks for turning your internal AR system into the perfect payment machine.

Draw Clear Credit Policies from Day One

It's hard to enforce terms that you've never expressed. Ask any accountant and they'd tell you that ambiguity is one of the most common reasons for late payments. Combat informal credit arrangements, unclear payment deadlines, or vague consequences late payments with a clear credit policy.

Our rule of thumb to keep it airtight is to include payment terms like “Net 15” or “Net 30” in every invoice.

What does this mean? This term refers to when a payment is due after an invoice is issued; Net 15 or Net 30 means full payment is expected after 15 or 30 days.

The word “Net” refers to the total amount of all discounts and adjustments. This means that no further deductions are expected, and that the entire invoice balance must be fully and finally paid within the expressed time frame.

Also, make sure to state all the relevant figures: late fees or interest on overdue payments (“1.5% monthly on all unpaid dues”), discounts on early payments (“2% discount if settled within 10 days”), and billing schedule or installment schemes (“50% upfront, 50% upon delivery” or 3-tranche billing on days 10, 20, or 30”)

For consistency across client touchpoints, Unified Global recommends documenting these terms clearly on invoices, contracts, and even welcome emails to new clients.

From First Meet to Follow-Ups - Automate It All!

Manually tracking who owes what, when to follow up, and how they should pay is both exhausting and prone to errors.

Now, you might assume automation tools are reserved for the true accountants. That's not always the case. There are plenty of beginner-friendly platforms that bear in mind small businesses that are solo-flying their finances.

The best accounting software conveniently links to your CRM platform for faster payment facilitation. In fact, with such tools, clients pay twice as fast! Here's how you can further automate aspects of your AR process:

Send invoices instantly: Tools like QuickBooks, Xero, or Zoho Books can automatically trigger invoices as soon as a service is marked complete.

Schedule invoice reminders: Let your AR system send out automated prompts before, on the day of, and after a payment due date.

Embed payment links in every invoice: Clients are far more likely to comply when they can click, pay, and be done in one simple step.

Unified Global has helped several small business clients transition from outdated systems to these scalable tools with minimal friction. By removing manual repetition in your processes, you can collect your dues faster and with less follow-up fatigue!

Measure What Matters, and What Doesn't

This is another advantage of using an automation software since, as a rule in accounting, what gets measured, gets managed. And in our case, what gets managed, gets paid on time!

Keep an eye out on these key figures:

Days Sales Outstanding (DSO)
This tells you how long, on average, it takes to collect after a sale. Lower DSO = better cash flow.

Percentage of overdue invoices
If this number is on the rise, your process may be too passive or unclear.

Average collection period
also called AR turnover ratio, this shows how often you're collecting in a given period. A higher turnover means a more efficient system.

As they say, the numbers never lie! Proper tracking can tell you when to tighten your terms, adjust your automation, or seek help before a cash flow crunch hits.

The truth is, managing collections is all about being aligned over being aggressive, and being consistent over being confrontational, with clients. Take it from Unified Global's seasoned accountants: ditch the drama for discipline!

And if you're not sure where to start fixing your AR system, or you need help setting up the right tools and structures, working with accounting pros from Unified Global can save you time doing trial and error.

This way, you can stop chasing payments and let it chase you!
