Smarter 2025 Client-Facing AR Strategies for Faster Payments

Smarter 2025 Client-Facing AR Strategies for Faster Payments

In the world of business, there are only a few things more frustrating than delayed payments. No one wants the challenge of having to chase money that you’re entitled to – it’s like finishing a marathon, only to find out that the race host had run off with your medal.

In fact, one-third of merchants claim that payment delays put their business at risk of closure.

Sometimes, these setbacks hardly have anything to do with systems or software, but rather the relationship with the client. This is when AR – “Accounts Receivable”, or the outstanding invoices and payments owed in exchange for your business’ goods and services – often needs some knowledge of managing client connections.

Let’s explore some of Unified Global's time-tested strategies to make that side of the equation work for you.

Draw a Line Between Payment Behaviors

All clients aren’t created equal. Some fulfill their commitments like clockwork. Others make you feel they mistook “Net 30” as meaning “Optional 90”.

But that’s exactly why client segmentation is a nifty strategy. Knowing the kind of client you’re dealing with helps you know who to spend your energy more on to expedite payments.

Here’s how Unified Global usually categorizes clients to stick to our payment schedules:

The Golds: The most punctual with their payments, these clients are the ones you’d want to build a strong relationship with. FYI: Increasing retention rates by just 5% can boost your profits by up to 95%, so keep them in your radar.

The Grays: These clients usually need a nudge, as they might have missed their deadline or overlooked how much they owe. So, they might need the personalized push or flexible payment options.

The Reds: These clients frequently delay payments for whatever reason, but don’t get flustered! Consider stricter terms when tailoring your agreements, or implementing upfront payments for future engagements.

Personalize Your Messages with Purpose

Great, you’ve categorized clients based on their payment patterns. Now, how should these influence how you reach out to them?

It actually matters a lot. Here’s how you can adjust your approach in both a general and a specific sense to your clients:

Be direct, not discreet: Whatever type of client you’re talking to, being direct is the way to go.

Whether it’s addressing them with their name (“Hi Ms. Rachel! Thanks so much for the prompt payment this month as always. Looking forward working more with you!”) or citing specific invoices (“Hi Mr. Richard, just checking in if we can do anything to expedite Invoice #1234.”), a little pride and poise helps put their priorities in order.

Tailor your tone: Scared of sounding passive-aggressive or confrontational? Tweak how professional-sounding your tone is depending on the type of client

“Hi Ms. Anna, we’d just like to touch base on if everything checks out with Invoice #1234. We’d love to know how we can help push this forward.” Notice how this paints your intentions in a clear but courteous way – as your clients deserve.

Speak with heart: Sometimes, delays aren’t deliberate – yes, even the chronically tardy ones in the red. But we’re all human, and that means speaking with heart.

You don’t need to talk hunches on why there’s a hold-up or to remind them of anything besides their currently delayed payment, even if it has happened before: “Hi Sir Mark, we hope you’re well. Just circling back on Invoice #1234 – we’re more than happy to assist if you need anything to get this sorted.”

Unified Global emphasizes this client-first mindset in all of our accounts receivable work, pairing persistence with professionalism to safeguard relationships while improving cash flow.

Offer Prompt Clients a Prize

Just like in credit, good payment behaviors deserve recognition and reward. Early payment benefits can encourage them to avoid late payments and, especially with “Golden” clients, to stick with your brand for the long run.

This makes early payment discounts a formidable tool to cut ahead of your competitors. However, take note of two things. First, would building a customer base this way cut into your margins, and when? Small discounts, over time, can start to impact profits. Scale your early bird perks to strike a balance between being appreciative and competitive.

Another thing: is your accounting team all set for an earlier payment schedule? With an early payment perk in place, expect an influx of payments ahead of time. If this is a budding headache, then consider hiring expert help like Unified Global.

Effective communication, understanding behaviors, and strategic incentives can significantly enhance payment timelines between you and your client.
